Flight delayed: what happens to your rental car booking, and how do you keep it?

A delayed flight can turn your car rental into a no-show. How no-show rules and desk opening hours work, and what to do before and during the delay.

If your flight is delayed and you miss the pick-up window, many rental companies treat the booking as a no-show and cancel it, and you could lose what you paid.

  • Giving your flight number when you book helps, but ECC Ireland warns not to assume the company knows about the delay.
  • Contact the company as soon as you know you will be late, check the desk's opening hours, and keep written proof of the delay and of your message.

You land three hours late, it is nearly midnight, and the rental desk is dark. Or it is open, but your car has been given to someone else. A delayed flight does not cancel your rental booking by itself, but not turning up within the pick-up window can. What happens next depends on the no-show rules in your booking, and on whether the company knew you were coming.

What a no-show policy means

Many rental companies apply a no-show policy. ECC Ireland explains it like this: if you do not collect the car within a set period and do not let the company know, the booking may be cancelled and you could lose the money you already paid. The exact rules should be in your rental terms, and they differ between companies. Some hold a car for a few hours after the booked time, others cancel soon after the desk closes.

ECC Malta's car rental leaflet makes the same link from the other side. It advises giving the company your flight number, because a flight delay may otherwise lead to the cancellation of your booking.

Why giving your flight number is not enough

A flight number in the booking helps. Some desks track arrivals and wait. But ECC Ireland warns: do not assume the company will be aware that your flight is delayed just because you gave them your flight details. If you booked through a broker, the flight number may not even have reached the desk.

So treat the flight number as a back-up, not as a plan.

Before you fly: check three things

  • The pick-up window and no-show rule. How long after the booked time is the car held? Is the rule in the broker's terms, the rental company's terms, or both?
  • The desk's opening hours. Airport desks do not all stay open until the last flight. Check whether there is an out of hours pick-up, and what it costs.
  • A phone number and an email address for the station itself, not only the broker's general helpline.

Our deadlines tool is handy for noting the booked pick-up time and the end of the no-show window next to your flight times.

As soon as the delay is announced: tell the company

Do not wait until you land. Call the station if you can, and also send a short message in writing, so you have proof. If you booked through a broker, contact the broker too, and ask it to pass the delay on to the rental company.

Example
Subject: Late arrival, booking [booking number], please hold the car

Dear [rental company],

I have a booking for pick-up at [station] on [date] at [time], booking number [booking number]. My flight [flight number] is delayed. The new expected arrival time is [time].

Please hold the car and do not treat the booking as a no-show. Please confirm by reply whether the desk will be open, or how I can collect the car after hours.

Kind regards,

When you land: check the contract times

If the car is still there, check the contract before you sign. Your rental period may still run from the booked times, so a late pick-up does not automatically move your return time. Ask the desk to confirm the return time on the contract. ECC-Net notes that companies often charge a full extra day even for a one-hour late return, so this matters on the last day too. Read late return charges.

Late at night, you will also be tired and in a hurry. Do not skip the walk-around and the photos. Our pickup checklist works in the dark with a phone torch, and photos at pick-up explains the order.

If the booking was cancelled or no car is available

Ask the desk, in writing if you can, why the booking was cancelled and what it can offer: a different car, a later pick-up, or a refund. If you have to rebook at a higher price, keep both the original booking and the new receipt. Read no car available at the rental desk for your options.

Can the airline pay for it?

Under EU air passenger rules, Your Europe explains that you are entitled to compensation if you reach your final destination three hours or more late, unless the delay was caused by extraordinary circumstances. The amounts are fixed by distance: for example 250 euros for flights of 1,500 km or less, and 400 euros for longer flights within the EU. That compensation is for the delay itself, not specifically for your rental.

Whether a lost rental payment or a more expensive replacement car is also covered, by the airline or by your travel insurance, depends on your situation and policy. Keep every receipt, the cancellation message from the rental company and the airline's confirmation of the delay, and ask.

After the trip

If you paid twice, or were charged for a booking you could not use, object in writing to the party you paid. If you booked through a broker, read who to complain to when you booked through a broker. Our sample letters help you word the request.

Frequently asked questions

Will the rental company wait for me if my flight is late?

Not automatically. Some companies hold the car if you gave your flight number, others apply a fixed no-show window. ECC Ireland advises contacting the company as soon as you think you will be late, and not assuming it knows about the delay because you gave your flight details.

Do I get my money back if my booking was cancelled as a no-show?

That depends on the terms of your booking. ECC Ireland notes that you could lose the money you already paid if you did not collect the car in time and did not let the company know. If you did warn the company, keep that message: it makes a request for a refund or a held car much stronger.

Can the airline pay for my lost car rental?

EU air passenger rules give fixed compensation for arrival delays of three hours or more, unless there were extraordinary circumstances, for example 250 euros for flights up to 1,500 km. Whether a lost rental payment is also covered by the airline or by your travel insurance depends on your situation and policy, so keep all receipts and ask.
