If you damage a rental car yourself, contact the rental company as soon as you can and follow its instructions; the Swedish Consumer Agency advises calling the police even for minor damage and keeping copies of every report.

  • Photograph the damage and the rest of the car.
  • At the return, ECC-Net advises agreeing on the damage you caused before you sign the return form, so that a later claim covers only that damage, and asking for the repair invoice if you are charged.

A concrete pillar in a parking garage, a kerb you misjudged, a gate that swung shut: most damage to rental cars is small, and the driver knows exactly when it happened. If you caused the damage yourself, the goal is not to avoid paying but to make sure you pay only for that damage, and no more than your contract allows. Here is what to do from the moment it happens until the claim is settled.

What should you do right after you damage a rental car?

Contact the rental company as soon as you can and follow its instructions. That is the first step the Swedish Consumer Agency, Konsumentverket, gives for damage to a rental car, together with reading your contract to see what it requires. The number is usually on the key fob, on a sticker inside the car or in the rental agreement.

Konsumentverket also advises contacting the police, even for minor damage, and getting copies of the police report and any damage report. That can feel excessive for a scraped bumper, but a police report is often what your rental terms or your own excess insurance ask for later. If another car or person is involved, write down the names and addresses of everyone, as ECC-Net recommends, and fill in a European Accident Statement together. Our article on what to do after an accident abroad covers that situation in full.

Then photograph the damage close up and from a distance, so the location on the car is clear. Add photos of the rest of the car too. They show that this is the only damage, which helps if another mark turns up on the bill later.

Should you report it now or wait until the return?

Report it now. Some companies ask for it straight away. Europcar UK, for example, asks renters to report incidents as soon as it is safe to do so, through its assistance line. When you tell the company first, the damage is described in your words and with your photos. If you wait, the first description comes from the return inspection, possibly done the next morning by someone who did not see what happened.

Do not repair the damage yourself or have it fixed at a local garage without written approval. The car belongs to the rental company, and it decides how it is repaired. A repair it did not agree to can lead to a second claim for redoing the work.

What should you agree at the return?

Return the car during opening hours if you can, so the inspection happens with you present. ECC-Net advises that before you sign the return form, you agree on any damage you have caused. That is the key moment. Ask the staff member to note your damage on the return report, and check that nothing else is added. If they point to other marks you did not cause, say so and have that recorded too. Our article on the return inspection shows how to handle it step by step, and photos when returning a rental car lists the shots to take.

Some companies offer to settle small damage on the spot. Europcar UK prices light damage with a fixed damage matrix and lets you sign and settle that amount at the return, which avoids its separate administration charge for light damage. Before you accept, compare the amount with your excess. With a damage waiver, the excess is normally the most you pay for covered damage. The excess calculator helps you see where you stand.

How do you check the claim afterwards?

A claim for damage you caused should still be correct. Ask for the repair invoice or assessment report, as ECC-Net advises when a charge is disputed. Check that the invoice covers the same panel or part you reported, that the amount fits the size of the damage, and that extra items such as loss of use or admin fees are in your contract. Europcar UK gives customers 14 days from receipt of the invoice to raise queries, so do not leave it lying around.

The burden of proof does not shift because you admitted one scrape. Konsumentverket points out that the rental company has to prove you caused the damage it charges for. If the bill includes anything beyond what you reported and what is on the return form, ask for evidence for that part. Our guide to estimates versus repair invoices shows what a fair claim looks like.

Can your own insurance pay the excess back?

Often it can. If you have separate excess insurance or a credit card with rental cover, you usually pay the rental company first and then claim the excess back with the contract, the damage report, the invoice and proof of payment. Konsumentverket suggests checking whether your credit card, home insurance or car insurance gives you any protection. Our article on claiming your excess back lists the documents insurers ask for.

Frequently asked questions

Should I tell the rental company about a small scratch I caused?

Yes. Konsumentverket advises contacting the rental company as soon as possible and following its instructions. Reporting it yourself lets you describe the damage, and keeps a later claim limited to what you actually caused.

Do I need a police report for minor damage to a rental car?

The Swedish Consumer Agency advises contacting the police even for minor damage and getting copies of the police report and damage report. Your rental terms may also require it, especially when another vehicle or person is involved.

Can I repair the damage myself before returning the car?

Do not do that without the rental company's written approval. The company decides how its car is repaired, and an unauthorised repair can lead to a second claim. Ask what it wants you to do.

Can I settle small damage at the desk when I return the car?

Some companies allow it. Europcar UK, for example, prices light damage with a fixed matrix and lets you sign and settle that amount at the return. Check the amount against your excess before you agree.
