Airport or city pick-up: which rental car location is cheaper and less stressful?

Airport desks are convenient but can add location fees and long queues. City and off-airport stations can be cheaper but close earlier. How to compare them.

Picking up a rental car at the airport is convenient, but the price can include airport fees, and desks are busy when flights land.

  • City and off-airport stations are often cheaper, but may close earlier, need a shuttle or taxi, and handle late arrivals less flexibly.
  • Compare the total price including location fees and transfer costs, check the opening hours against your flight times, and give your flight number when you book.

You land, collect your bags and walk to the rental desk in the terminal. Or you take a shuttle bus to a station a few kilometres away, or a train into town and pick the car up there. Each option has a price and a catch. The cheapest pick-up location is the one with the lowest total cost and opening hours that match your flight, not the lowest daily rate. Here is how to compare.

What you pay for at the airport

Airport desks are convenient: no transfer, cars ready near the terminal, long opening hours at large airports. That convenience is often priced in. Airport stations can carry extra costs, and companies may show them as a separate airport or location fee, or include them in a higher rate. The Greek terms of one large company, for example, add airport fees on top of some of its charges. Rental companies are free to set their own prices and conditions, as Your Europe explains, so the difference between airport and city can be small or large.

Look for these lines in the booking summary:

  • airport fee, location fee or premium location charge;
  • charges "payable at pick-up" or "local charges";
  • an out-of-hours fee for collection or return outside opening times.

In 2022, ECC-Net screened online car rental intermediaries and found that 55% did not comply with EU consumer law, that nearly half gave unclear information about insurance, and that 21% showed pre-selected extras. Read the summary carefully before you pay.

Airport, off-airport or city: a comparison

Location Usually good for Watch out for
Airport terminal desk Late arrivals, short trips, travelling with children Airport fees, queues when several flights land
Off-airport station with shuttle Lower prices at busy airports Shuttle frequency, waiting time, shorter opening hours
City or railway station Starting the trip a day later, avoiding city driving on day one Earlier closing, weekend hours, city traffic and parking

Opening hours: the hidden risk

An off-airport or city station may close in the evening or on Sundays. If your flight is delayed and you arrive after closing, the car may not be there for you. ECC Netherlands advises contacting the company early if you may be late, and entering an indicative pick-up time when you book, for example one to two hours after landing.

The same applies at the end of the trip. ECC Austria notes that returning the car only a few minutes late can cost an extra rental day. ECC Netherlands adds that companies often charge a full day for a late return. A city station that closes at 6 pm leaves less room for traffic than an airport desk that is open until midnight. Read what a late return can cost.

Shuttles and transfers: count the real cost

An off-airport offer can be cheaper on paper, but add the time and the transfer. A shuttle every 20 minutes is fine; one every hour after a long flight is not. If the station is in the city, add the train or taxi fare. For a short rental, the saving can disappear.

The return matters as much as the pick-up

Where you return the car affects your evidence. At a busy airport, cars are often returned in a car park with no staff, or through a key box. At a city station, staff may be more available, but only during opening hours. Wherever you return:

  1. Take photos and a video of all sides, the wheels, the windscreen and the dashboard.
  2. Ask for a return report signed by a staff member.
  3. If nobody is there, record the time and place with your photos.

Our return photos guide lists the shots, and evidence mode keeps them with date and location.

A short example

You fly to Lisbon for a week. The airport desk offers a compact car for 280 euros including an airport fee. A city station near your hotel offers the same class for 220 euros, but it opens at 9 am and closes at 7 pm, and is closed on Sunday afternoons. Your flight lands at 10 pm on a Saturday, and you return on a Sunday. Adding a taxi to the city station and an extra night of parking at the hotel, the saving is gone, and the Sunday return does not fit. You choose the airport, give your flight number, and photograph the car in the car park before you leave.

How to decide

Choose the airport when you arrive late, travel with children or luggage, or have a short rental. Consider a city or off-airport station when you do not need the car on the first day, or when the price difference is large and the opening hours fit your flights. In both cases, compare the total cost with the excess calculator and check the pick-up checklist before you drive off.

Frequently asked questions

Why is the same car more expensive at the airport?

An airport location can be more expensive to run, and some companies show that as an airport fee or include it in a higher rate. Rental companies are free to set their own prices, so the difference varies. Compare the total, not the daily rate.

What happens if my flight is late and the off-airport station closes?

That depends on the company’s rules. Give your flight number when you book, contact the station as soon as you know you will be late, and ask what happens after closing time. ECC Netherlands advises contacting the company early if you may be late.

Is it riskier to return a car at a city station?

Not in itself. What matters is whether staff inspect the car with you. Wherever you return, take photos and a video, and ask for a signed return report.
